Ticket result states

When a QR code is scanned at the door, the check-in app communicates with TimbaTicket's servers and returns one of several result states. Each state has a specific meaning and colour.

Admitted ✓ (green)​

The ticket is valid and the attendee is checked in. This is the normal, expected result for a valid ticket being scanned for the first time.

The screen shows the customer's name and ticket type.

Already Used ✕ (red)​

This ticket has already been checked in. The screen shows when it was checked in (time and date).

This usually means:

  • The attendee already entered (e.g. they scanned their own ticket and then tried to scan again)
  • Two people are trying to use the same ticket
  • A ticket was scanned by mistake and needs to be overridden

If you believe this is an error, an Owner or Manager can use the Admit anyway override.

Refunded 🚫 (red)​

This ticket has been refunded. The screen says "This ticket has been refunded."

A refunded QR code is dead — it cannot be used for entry. This is a customer-service moment: the person may not know their ticket was refunded.

tip

Only an Owner or Manager can override a refunded ticket. If you are a Team member or door staff, tell the attendee to contact the organiser.

Problem ⚠️ (amber)​

This ticket has been flagged with a problem note by the organiser. The screen shows the note (e.g. "VIP upgrade pending", "Comp ticket — verify ID").

Problem tickets are not automatically admitted. An Owner or Manager must review and decide whether to admit.

Override Admitted (green)​

An Owner or Manager has used the Admit anyway button to override a Refunded or Problem ticket. The screen shows "Owner/Manager override" and which flag was overridden.

This is logged for audit purposes.

Invalid 🚫 (red)​

The QR code could not be matched to any ticket. This means:

  • The QR code is not from TimbaTicket
  • The QR code is from a different event
  • The QR code has been corrupted or is unreadable

Not Authorised / Not Overrideable (red)​

These are special states that appear when someone tries to use the Admit anyway button but cannot:

  • Not Authorised — only Owners and Managers can override. Team members and door staff see this message
  • Not Overrideable — the ticket cannot be overridden (e.g. it is already used, not flagged)

Network Error (amber)​

The check-in app could not reach the server. This is usually a temporary connectivity issue. Tap anywhere to dismiss and try scanning again.

tip

If network errors persist, check the door staff member's mobile data or Wi-Fi connection. The check-in app needs an internet connection to verify tickets.
